Planning ahead for flawless AV presentations: Don’t let technical glitches steal the show.

If you are planning an event that requires audiovisual (AV) support, it is important to understand the various requirements that may be needed to ensure a seamless and successful event. Here are some common AV requirements that you may need to consider:

Audio & Video things to consider

  • Do you require 2 Screens?
  • Do you require a Stage?
  • Will you need/require the Lectern (this includes a Gooseneck Mike)?
  • Will there be a Powerpoint/Keynote presentation from the Stage or from the AV position?
  • If there’s a presentation, who will run it (host on stage/ AV crew/ a member of your team)?
  • Are you bringing your own laptop/will we need to have the presentation on our system? (we would need it 24 hours beforehand)
  • Will you require the Slide Clicker?
  • Do you want to record the presentation (Audio/Video)?
  • Are you planning on broadcasting through Zoom/Teams?
  • Do you envisage any presenters Dialling in through Zoom/Teams to the Room?
  • In addition to these requirements, it is important to consider the start and end times of the event, as well as the running order. The running order is critical, as it determines if there are musical or video play-ons and introductions that take preparation. It is also important to consider if your speakers will need instruction on how to use the microphones before each event.

If you require additional support, such as more than three radio mics or headsets for people speaking, please let the AV team know with at least 24 hours’ notice. There is an additional cost for any work that needs to be done in advance, and any media used must be provided in advance on a hard copy (USB stick) with a backup accessible on the day.

Our highly experienced tech team can help clients with the format of the presentations/event in advance in order to avoid difficulties on the day. We allow for a dry run of one hour before the event, any additional time may require an extra charge. If there is a full presentation, moving images, music introductions, etc., it will require two techs to support (including changes in format and content) at an extra cost for the four hours. Rehearsal time is one hour before the event, as standard.
